Aiming for paperless
Miedema Groep has been in the business of construction materials for over a century, supplying contractors and companies with wood for the building industry in the Netherlands. This position means that the company handles quite a lot of invoices and bank payments each month, a task that would fill up the finance department both in terms of time and physical space.
“Before, we stored everything physically in cabinets. We had 5 or 6 of them with binders full of documents,” says Ulko Stelpstra, Financial Manager at Miedema. Now, the company has zero cabinets and is aiming for a completely paperless finance department.

Embracing the digital future
Miedema Groep’s journey to a fully digital finance department began with Microsoft Dynamics 365 Business Central. However, it was the implementation of Continia’s solutions for invoice and payment management that truly made this transformation possible.
“Our goal was complete digitalization,” says Ulko Stelpstra. “That’s why we chose Document Capture.” Since 2021, the company has been using this solution to automatically scan and read invoices. The benefits are numerous, but the biggest advantage is the time saved.
“Additionally, we save a significant amount of time—it’s much easier to register an invoice now. We save perhaps 2-3 hours per day by not having to do this manually anymore,” Stelpstra explains. With over 1000 invoices processed each month, Continia Document Capture has enabled Miedema to maintain its financial operations without the need for additional staff.

Manually handling invoices is time-consuming, but even more demanding are tasks like payments, bank statements, and reconciliation. Previously, these tasks were typically managed by a trainee, but the introduction of Continia Payment Management has made this role redundant. “Before, we had a match rate of about 30-35%. Now, 90-95% of the lines are reconciled automatically – that saves a huge amount of time as well, of course,” says Ulko Stelpstra. He sums up, “Overall, we have been able to reduce the work load of our employee’s in our finance department with the use of Document Capture and Payment Management. That gives us the space to invest in other administrative tasks and improve even more.

Not only has the daily workload been lightened, but controlling and auditing processes have also become more streamlined. “When we have our annual accountancy review, they request 250 invoices that we previously had to find manually in cabinets and binders. Now, it’s so much easier,” Stelpstra notes.
