Smooth implementation of Continia Document Capture

Like many other companies, Hume Housing faced some challenges in terms of document management during Covid-19. Among other things, they needed to increase productivity, streamline processes, minimize paperwork, and remotely process electronic documents.

Our partner, Dynamic Aspect, worked with Hume Housing to solve this issue by designing the right solution for them and exploiting the capabilities of Business Central and Continia Software. They delivered on time and within budget, creating a positive customer experience. The costs of Hume Housings' manual tasks were ultimately reduced by two-thirds.

The challenges for Hume Housing

Hume Housing manages more than 9,000 customers across Australia; due to that, their accounting department processes up to 5,000 payables per month. Previously, the different departments would collect all their invoices and send them to a central location by various means. Each invoice was handled several times to get the check cut – as you can imagine, this was a lengthy process.
The importance of taking advantage of electronic storage of invoices, directly connected to payables in their Business Central, became particularly apparent during the COVID-19 shutdown. For that reason, the key focus became automation and digitization to improve productivity, reduce paperwork and errors, improve safety in connection with Covid-19, and streamline processes in their complex array of clients, suppliers, and partners across the private, public, and non-profit sectors.

Continia is very intuitive, super slick, and will have a huge payoff for us the longer we use it. We are already seeing the benefits of moving to a paperless accounting office and it’s pretty exciting!

Results and outcome: automation and digitization

In 4 weeks, Dynamic Aspect successfully deployed and integrated Document Capture into their Business Central. Regarding this, Lee Huynh, Senior Manager, Technology at Hume Community Housing, states that:

Now, the payables are scanned, automatically entering the transaction and saving the invoice into the digital-file archive - the paper copy isn’t needed anymore. That’s where the time savings come in. Time saved is also most noticeable regarding reduced errors and rework by not having manual data entry.
Additionally, grabbing a large stack of invoices and not having to sort them alphabetically and by other attributes, as they did previously, is more than just time savings. Now, it automatically scans an invoice, taking away all paper management. Ultimately, Dynamic Aspect reduced their client's costs of manual operations by two-thirds.
